Always use latest version.
Archive old versions for reference.

Updating Files

When sharing updated version:

  1. Clearly mark as "UPDATED"
  2. Note what changed
  3. Specify effective date
  4. Archive old version
  5. Communicate changes

Removing Outdated Files

  • Can't delete from chat history
  • Post notice file is outdated
  • Direct to current version
  • Update pinned resources list

File Access and Permissions

Department Files

  • Accessible to department members only
  • Private and secure within space
  • Can be downloaded and shared
  • Remain after members leave

Student Files

  • Share only with authorized individuals
  • Don't redistribute without permission
  • Follow FERPA guidelines
  • Maintain confidentiality

Institutional Documents

  • Share per organizational policy
  • Don't distribute externally
  • Follow data governance rules
  • Protect proprietary information

Files shared in spaces remain accessible to members even after you leave the space. Ensure appropriate content before sharing.

Create a "Master Resources" document listing all important files, their purposes, and where to find them. Keep this pinned in department space.

Never share files containing sensitive student data (grades, financial details, personal information) in public spaces or with unauthorized individuals. Use secure, private channels and verify recipient authorization.
